Handling of personal information (privacy notice)

K. MATSUSHITA FOUNDATION Kyoto Office ("the Foundation") will acquire the personal information specified in 2. below from applicant for its Award and Grant Program ("Program") for the purposes of use specified in 3. below, including the acceptance and screening of Program applicant. In this case, the Foundation will comply with laws, regulations, and other rules regarding the protection of personal information, set out this notice ("Notice") in accordance with its privacy policy, and properly handle, manage and use the Program applicant's personal information as follows.

Please understand and agree to the content of this Notice when applying for the Program.

2. Personal information to be acquired

(1) Information to be acquired from the Program applicant

- The name, address, telephone number, email address, eligibility and requirements, affiliation, research theme, applied-for amount, etc., and information regarding them which they enter, describe, input, or register on application forms, etc.

(2) Information to be acquired from the Program grant recipient adopted and selected upon screening of the Program application

- Information regarding the Program grant recipient adopted and selected upon screening of the Program application which they enter, describe, input, or register on documents, etc., before, during, and after the grant period for the purpose of the operation and administration of the research grant, such as remittance of the grant

3. The purposes of use of personal information

The purposes of use for which the Foundation will acquire personal information are as follows.

1) To accept and screen the Program application

2) To handle inquiries from the Program applicant about the acceptance and screening of the Program application

3) To notify the Program applicant about the results of screening of the Program application

4) To manage the use of grant by the Program grant recipient adopted and selected upon screening of the Program application

5) To make public the following information regarding the Program grant recipient adopted and selected after screening of the Program application

  • - To make public the research results, including the grant number, research theme, name, affiliation (at the time of selection), research report, etc., for the purpose of the Foundation's annual report, etc.
  • - To make public the grant number, research theme, name, affiliation (at the time of selection), research report, etc., in the List of Grantees published on the Foundation's website, in its documents, etc.
  • - To make public the grant numbers, names, themes, release dates, and types in the List of Publications published on the Foundation's website, in its documents, etc.

6) To use for any other purposes agreed to by the Program applicant under separate terms

4.Provision of personal information

The Foundation will not provide the Program applicant's personal information to third parties except in the following cases and except as specified in "5. Entrustment of the handling of personal information."

1) The Program applicant's consent has been obtained.

2) Provision of such information is required under laws or regulations.

3) Provision of such information is necessary to protect a person's life, body, or property, when it is not possible at that time to obtain the Program applicant's consent.

4) The handling of personal information is entrusted in whole or in part to the extent necessary for achieving its purposes of use.

5) Provision of such information is necessitated by business transfer due to amalgamation, etc.

6) The acquisition of the Program applicant's consent appears likely to hinder the fulfillment of statutory affairs by a national government agency or local government, or contractor thereof with which the Foundation is required to cooperate.

5. Entrustment of the handling of personal information

The Foundation may entrust the handling of acquire personal information in whole or in part to the extent necessary for "3. The purposes of use of personal information" above.

6. Security measures implemented

The Foundation has established a privacy policy and has implemented the following measures to prevent the leakage, loss, damage, etc. ("Leakage, etc.") of personal information.

  • - The Foundation has appointed a personal information protection manager and established an organizational framework for protecting personal information.
  • - The Foundation has developed rules on the handling of personal information, including the methods and the manager's roles in the stages of acquisition, use, retention, provision, deletion and destruction, etc., and carried out periodic internal audits, etc., to evaluate the way the information is managed.
  • - The Foundation has conducted periodic education and training for employees on important areas in handling personal information.
  • - The Foundation has implemented physical measures to prevent unauthorized access to and removal of personal information, including the control of access to the zones where personal information is handled.
  • - The Foundation has adopted access restriction and specified the scope of the personnel authorized to handle information and of the personal information they are authorized to handle.
  • - Should any Leakage, etc., or other incidents involving personal information handled by the Foundation occur, the Foundation will report such incidents to the Personal Information Protection Commission, give notice to the subjects of information, and take other appropriate actions in accordance with the provisions of laws and regulations.

7. Requests for the disclosure, etc., of personal information

Please contact via the inquiry form on the Foundation's website to request the notification of the purposes of use of personal information retained by the Foundation, the disclosure of such personal information, the disclosure of records of its provision to third parties, the correction, addition or deletion of the personal information, and the suspension of use or erasure of the personal information, and the suspension of its provision to third parties, etc.

8. Inquiries about the protection of personal information

Questions, requests for clarification, complaints, and other inquiries about the handling of the Program applicant's personal information retained by the Foundation are accepted via the inquiry form on the Foundation's website.

9. Use of cookies, etc.

This website does not use cookies or other equivalent technologies to acquire information about the Program applicant.

10. Others

  • - The provision of personal information is optional. However, if personal information is not provided, Program applications may not be accepted or screened. There may also be some inquiries that the Foundation is not able to answer.
  • - This Notice may be changed and updated by the Foundation. If the changes are material, they will be announced on this website or notified by email, etc.
